Here’s how to make your video meetings more professional!

Virtual meetings have been the trend in doing business nowadays. It’s safe, convenient, and more efficient. It makes communication and doing business a lot easier. You can even discuss with your clients while you and them are at the comfort of your own homes! Thanks to video conference platforms like Zoom.

But although these meetings are virtual, you still need to keep them professional.

1. Introduce everyone and reiterate the agenda at the start of the meeting.

Like face-to-face meetings, it is a basic courtesy to introduce everyone in the meeting. This is as important during virtual meetings. Since you are not able to see each other personally and you wouldn’t immediately see everyone in the room, it would be best to let everyone know who is in the meeting. Also, like all meetings, set everyone’s expectations by reiterating the agenda and objective of the meeting. This will make the meeting more organized and efficient.

2. Keep your background clean and work-appropriate.

Although you are having the meeting at home, it doesn’t mean that you can just do it anywhere in your home. Find a clean and quiet area. You will be facing your clients and it is important to keep your background clean and work-appropriate. You wouldn’t want your clients to see the unfolded laundry or your dirty dishes at home. Clear the clutter. If you couldn’t find the best area to do the meeting, you can use a virtual background.

3. Eliminate all distractions.

Aside from the background, make sure that you do the meeting in a quiet area in your home. Stay in an area that is away from all distractions. Let your family members know in advance that you will be having a meeting and until what time. This is for them to avoid disturbing you during your meeting. If you are staying in a room, you can put a sign on your door saying that you are in a meeting and that silence should be observed.

4. Ensure that your audio and video are working properly.

Before you even enter the online meeting room, test if your microphone and camera are properly working. You wouldn’t want to encounter technical difficulties while your meeting is ongoing. Your and your client’s time is precious so you wouldn’t want to spend it fixing technical difficulties that could have been settled before the meeting.
